Users unable to access MetaShare

Due to an ongoing incident in Microsoft 365 users in some tenants can’t access SharePoint sites and as a result can’t access MetaShare. Administrators in affected tenants can follow the issue SP1166466 in admin portal (note, the issue is not visible for not affected tenants).

Microsoft informed the issue is now resolved.

We've identified that a section of service infrastructure is underperforming due to a
misconfiguration, resulting in both reduced site availability and reliability. We're
actively working to resolve the configuration and mitigate impact.

E-mail notifications are not being sent

Currently no automatic e-mail notifications are being sent to the approvers, when a document is submitted for approval.
We are investigating this and hope to resolve the issue within soon. If you need to notify the approver(s), before this issue is resolved, you need to send them manual notifications. The approvers will however see the task in the workspace where the document resides.

Our internal tests show that this issue now seems to be resolved.

Performance degradation

Some tenants experienced slow loading times and timeouts when using MetaShare. The issue was caused by slow responses from SharePoint APIs. During this period, Microsoft reported several issues with Microsoft 365 services, introduced by recent updates to their infrastructure. It is likely that the affected tenants received these updates. The issues began and resolved without any changes to MetaShare.

Update 25 June 2025, 3:15 pm (CEST): We can now confirm that the issue was resolved before June 9. Our logs show that response times improved significantly around that time and have remained at expected levels since. We remain in contact with Microsoft to explore ways to prevent or minimize the impact of similar issues in the future.

Update 10 June 2025, 11:02 am (CEST): Our logs indicate an improvement in average response times starting Monday, June 9, but some customers may still be affected. We continue to follow up on support cases opened with Microsoft Support and are monitoring various issues affecting Microsoft 365 APIs, as published in the Admin Portal. Some of these issues resemble what we’re experiencing – for example issue MO1090542, which is currently marked as resolved.

Update 5 June 2025, 3:34 am (CEST): Resolving this issue remains our top priority. We’re in contact with Microsoft Support and continuing our own investigations.

Update 2 June 2025, 3:15 pm (CEST): Microsoft has now closed the service health issue SP1083677, but some customers continue to experience issues in MetaShare caused by slow or timed out responses from SharePoint. We continue to investigate the issue.

Update 28 May 2025, 11:58 am (CEST): We continue to experience slow responses and timeouts when MetaShare is connecting to SharePoint. Microsoft has now reported a service health issue SP1083677 related to SharePoint Search with a start date on Friday 23 May, which is when issues in MetaShare started. This confirms that updates to SharePoint were installed starting from Friday and that these are currently being rolled back, which can affect performance. It can also be the reported issue itself that causes service degradation.

We’re getting reports from users experiencing delays and failures when using MetaShare. Our investigation shows that we experience slow responses and timeouts when connecting to SharePoint for some tenants. Different tenants seem to be affected at different times, which leads us to believe there are things being done by Microsoft to SharePoint infrastructure that reduce performance. In those scenarios SharePoint interface is most likely prioritized over 3rd party apps, but we saw occasional errors in SharePoint as well. We continue to monitor the performance and investigate the issue. We’re also looking into ways to give MetaShare higher priority to avoid such issues in the future.

Issues with search results

We have received reports that results often, but not always, either load very slowly or results in an error. This can happen when opening the Search for documents or Workspaces tabs or when doing a free text search inside a workspace.

Performance degradation

We observed performance degredation in the web interface this morning. As a short term measure, we have disabled due date email reminders. We are investigating the issue and will update when we have more information.

Missing icons in MetaShare

We experienced an issue affecting the loading of icons for MetaShare users who did not have them cached. Our investigation revealed that Microsoft changed the location of the content distribution network (CDN) hosting their user interface icons. We released an update to load icons from the new location.

Issue in Microsoft 365 affected MetaShare start page and search results when newly created columns were used

For some customers, some workspaces and documents were not appearing correctly in MetaShare. This was caused by a Microsoft 365 issue (SP886644) that prevented any documents or sites using new columns from appearing in search results. Microsoft has confirmed the issue was fully resolved. More information about the issue can be found in the admin portal.

Service degradation in Microsoft 365 affected MetaShare start page

Some workspaces or documents might not appear in MetaShare as expected, because they are not correctly included in the search results returned by Microsoft Search.

Update 12 March 2024: Issues loading workspaces and documents on the MetaShare start page are caused by an ongoing service degradation in Microsoft 365 (refer to admin portal issue SP709902). Reindexing affected SharePoint sites has helped to resolve the issue in most cases. Contact us if you need help with reindexing missing workspaces.

Issues with search filters/refiners

We had experienced issues with search filters/refiners in Documents and Workspaces search on MetaShare start page. This was caused by SharePoint returning refiner values in a slightly different format than before. Users may have experienced following issues:

  1. File type filter/refiner didn’t show correct values, only “Other file types”:

  2. When a page with selected filters/refiners was refreshed or opened with a link, some filters were not decoded correctly:

PowerPoint issue and temporary fix

We had discovered an issue in PowerPoint’s desktop application that appeared after one of the Microsoft 365 (Office) updates. When PowerPoint documents were opened as Read-Only, using links built using Office URI Schemes, and the user tried to edit them by clicking “Edit Presentation” button:

This was not a bug in MetaShare, but was effecting our users, because MetaShare opens documents in Read-Only mode to prevent accidental updates. We made a temporary change so that MetaShare opened PowerPoint documents in the desktop app directly in edit mode. After Microsoft resolved the issue, we decided to wait some time to allow all our clients to install necessary Office updates, before finally reverting the workaround on August 8th.

Not possible to drag and drop e-mails from Outlook to MetaShare

Issue: After having deployed the latest MetaShare update, users were not any longer able to drag and drop e-mails from Outlook to MetaShare.

Status: We managed to solve this issue, making it possible for users to drag and drop e-mails from Outlook to MetaShare.

MetaShare was not accessible for a few minutes

Issue: While deploying a MetaShare hot-fix for solving a SharePoint search-related issue, MetaShare was unfortunately not accessible for a few minutes.

Status: We noticed this directly and could roll back the hot-fix making MetaShare accessible again. WE apologize for this unfortunate incident.

Intermittent disturbances in MetaShare

We are currently experiencing some operational disturbances in MetaShare, where MetaShare intermittently is being timed out and you will be redirected to this page where you are prompted to click on the “Try again” button to reload the page:

We are investigating the issue and in parallell also investigating if the disturbances are related to connected Microsoft services. Usually, disturbances in performance are related to connected Azure/Office 365-environment.

Minor versions not indexed

In some tenants, SharePoint search does not index minor versions of documents, resulting in only showing published versions of documents when searching for documents. Currently approximately 10% of our clients have reported this issue.

By design SharePoint should index minor versions, if “Draft Item Security” = “Any user who can read items”, is applied (default setting in MetaShare).

We have opened a couple of support tickets with Microsoft (26293810 and 25989452), they have been able to reproduce this issue and are looking for a solution. We hope that a quick fix will come within soon.

Status: Microsoft have been able to reproduce this issue and have made changes in the service. if you are experiencing the above problem a re-indexing of the affected document library should now fix it.
