27 million documents needed structure
Skellefteå municipality had around 27 million documents stored on file servers and lacked a common structure for information outside the business systems. Each administration had built up its own working methods, which made it difficult to find information, follow regulations and create control over growing amounts of information. At the same time, demands for information security, deletion and archiving were increasing.
From unstructured information to joint control
Together with Ways, Skellefteå Municipality introduced MetaShare as the basis for process-oriented document management in Microsoft 365. Through common structures, metadata and automated rules for permissions and information lifecycle, a uniform way of managing information was created throughout the organization.
The result is an information environment where employees can find the right documents more easily, where information management follows the business processes and where the municipality has created the conditions for both more efficient work and future AI use.
