How Deloitte managed to increase their document management efficiency with MetaShare
Deloitte is a multinational accounting firm and the largest professional services network in the world, by revenue and number of professionals, with more than 286 200 professionals globally, in more than 150 countries. Each member firm in its global network remains a separate and independent legal entity, subject to the laws and professional regulations of the country or countries in which it operates. Deloitte Sweden, with its 1 300 employees is one of these independent firms and they are active within these business areas: business acquisitions, accounting, auditing, risk management and tax advice.
Within tax advice, Deloitte helps their clients increase their net asset value, undertake the transfer pricing and international tax activities of multinational companies, minimize their tax liabilities, implement tax computer systems, and provides advisory of tax implications of various business decisions.
Deloitte’s transition to GDPR
Deloitte Sweden’s tax department advises more than 2 000 clients. For each client, Deloitte conducts multiple assignments, all from individual tax return to Due Diligence. These assignments are all managed under 9 different service lines with different team members. Based on several regulations, including GDPR, Deloitte had to comply with a number of security rules. One of these is that an assignment for a specific client, within a certain service line must not to be disclosed for individuals that work for the same client but are members of another service line.
Previously, Deloitte Sweden’s tax department saved all their clients’ documents on three file servers (one per office location), with a huge number of folders and sub-folders. It was difficult to ensure that the folders had the right level of confidentiality and it was difficult for their users to find, access and collaborate on these documents. A new document management system had to be implemented and after having looked at a few different solutions, Deloitte chose MetaShare from Ways. The purpose of the new document management solution was to introduce a total digital management of Deloitte’s client assignments and their documents. The goal was to create better order and readiness, streamline work and facilitate the everyday life of about 200 employees within their tax department.
